Your Guide to a Successful GES Promotion to higher ranks

IMMINENT OPENING OF GESPROMOTION PORTAL - 2025 (DD/AD I/AD II/PS): SENSITIZATION TO PROSPECTIVE APPLICANTS ON THE PARTICULARS REQUIRED FOR THE ONLINE REGISTRATION

 

Signals are clear from the GES Headquarters that any moment from now (as in August, 2025), GES Promotion Portal will be activated for prospective applicants aspiring to Deputy Director, Assistant Director I, Assistant Director II, and Principal Supt respectively, whose Notional Effective Dates on their last Promotions Letters are ON OR BEFORE 2021 to apply for the upcoming Aptitude Test for Promotion to the abovementioned Senior Ranks in the profession. 

To ensure effective online application and also to avoid any possible disqualification, as well as reactiveness, prospective applicants should make the following documents/details readily available, as these details are being uploaded onto the portal:

EXPLANATIONS TO SOME TECHNICALITIES, AS WELL AS OTHER CLAUSES THAT CAN LEAD TO YOUR DISQUALIFICATION OF GES APTITUDE TEST PROMOTION BY THE SYSTEM

 

A. Entering Appropriate Name(s):

Prospective applicants are advised to enter appropriate names corresponding to the names on their Last Promotion Letters and other relevant documents. In case of any omission of name, input what has been written on the Last Promotion Letter.

For instance, if you are called Cecilia Amma Dapaa, which is on certificates and your payslip, but on your Last Promotion Letter, 'Amma' was omitted. In this case, you should input Cecilia Dapaa, but not the full names on the other document. Failing to do so, the system will not recognize you, and you'll be disqualified.  Taking legal steps to correct the names is different thing altogether from the purpose of this online application. Also, any wrong spelling of your name, disqualifies you. For example, if your name is spelt Theresa and you type it Theresah by adding h, you will be automatically disqualified

B. Present Grade & Rank Applying For:

It's rather unfortunate that some applicants who are not conversant with the various and   interwoven ranks in the GES are disqualified as a result of inputting wrong grade. This usually happens to applicants aspiring for Assistant Director II and Assistant Director I.

Ignorantly, instead of inputting Assistant Director I and Assistant Director II respectively, they input Director I and Director II respectively; and the system out rightly disqualify them.

For instance, if your Present Grade/Rank is Principal Supt, applying for Assistant Director II, but you input Director II (omitting "Assistant), what this means is that, you want to avoid AD II, AD I, DD, but quadruple jump to Director II to probably become District Director of Education; and you'll be disqualified by the system.  

 

C. Notional Effective Date & Substantive Date

Applicants who will use their Last Promotion Letters have no difficulty in quoting these two confusing dates, as they are always categorically stated in promotion letters. For applicants who will use their Upgrading Letters to P/S, and applying for Assistant Director II, in the Upgrading Letter, you'll see the phrase, "with effect from", and that is your Notional Effective Date. 

NOTIONAL EFFECTIVE DATES FOR FRESH PROFESSIONAL GRADUATE TEACHERS

For above-mentioned applicants, dates of their First Appointment (with effect from) in their Appointment Letters (specifically, 2020/2021) serve as their Notional Effective Dates.  If your Substantive Date is not stated in your Upgrading Letter, the month from which your salary arrears were paid to you, serves as your substantive date. In this instance, you need to memorize and quote the month. 

 

D. Using Master's/PhD Degree as an Advantage and another Instance Where It's Inconsequential to Input Applicants who possess Master's/ PhD Degrees should take the sensitization below very seriously to avert any possible disqualification:

Using abovementioned higher degrees always reduces the 4-year duration to qualify for promotion, to two (2) years.  With specific reference to the upcoming Promotion Examination which the Notional Effective Dates will be on or before 2021, applicants with Master's/ PhD Degrees that were obtained on or before 2023, qualify to apply. However, there's a clause which states that the Master's/ PhD Degrees should be obtained after their last Notional Effective Dates. 

For this reason, if your Master's/PhD Degrees were obtained on or before 2021, which is older than your last Notional Effective Date, but the Notional Effective Date qualifies you, in a column where you'll be asked, "DO YOU HAVE MASTER'S DEGREE?”. *Kindly answer, NO.

This is so because, though you genuinely possess Master's /PhD Degree, the moment you answer, "YES", the system shall demand from you to upload the certificate; and the date on it, which may be older than your Last Notional Effective Date, will  disqualify you.  Kindly remember that this column is not where you showcase your academic credentials, but where to utilize the Master's Degree.

 

E. Interpretation of Highest Academic Qualification and Highest Professional Qualification

Sometimes, applicants have different interpretations to the aforementioned terminologies.

I will explain with examples for you to get a clearer picture.

With specific reference to GES, all GES Approved Courses serve as Professional Qualifications.

These include: Cert 'A', DBE, B.Ed, M.Ed, etc.  Interestingly in the GES, abovementioned certificates serve as both Professional and Academic Certificates. 

For this reason, if you entered the profession with Cert 'A' or Diploma in Basic Education, but you now, have B.Ed. or M.Ed., the latter become your Highest Professional Qualification, and again, your Highest Academic Qualification, as well.

However, if you have any other certificate that is higher than these ones, but not GES Approved, it becomes your Highest Academic Qualification, but not professional.

With regard to Highest Academic Qualification, as professionals in the GES who have obtained higher certificate that is not GES Approved Course, it becomes your Highest Academic Qualification.

In the GES, examples may include Bachelor of Arts, Bachelor of Science, Bachelor of Commerce (Accounting), HND Accounting/Marketing, etc. Kindly remember that there's, for instance, difference between Bachelor of Science/Mathematics and Bachelor of Education (B.Ed, Science/Mathematics.) 

In summary, for instance, if you entered the GES as Non-Professional holding Bachelor of Science, or Bachelor of Arts (English Language), but has obtained Diploma in Education; the former is your Highest Academic Qualification while the latter becomes your Highest Professional Qualification.
